Create a Performance Document by Typing or Pasting in Text

 

If you have another document that identifies the job description and/or tasks and standards for an employee’s job, you can type or paste these into a performance document so that these are used as the basis for the performance evaluation.  

 

Step

Action

1.

Creating the Performance Document

 

Select the Manager Self-Service link. The items of the Manager Self-Service menu will display.

2.

Select the Performance Management Home link. The items of the Performance Management Home menu will display.

3.

Select the Create Performance Documents link. Your direct reports will be listed.

4.

Select the Check Box for the employee for whom you will create a performance document.

5.

Click the Continue button. The Create Performance Document page will display.

6.

Enter or search for and select a Period Begin Date. The date will populate the Period Begin Date field.

7.

Place your cursor in the Period End Date field. Enter or search for and select a Period End Date. The date will populate the Period Begin Date field.

8.

For the "Document Type" field, accept the default value of HHS Performance.

9.

For the field “Clone from Prior Document,” select the No value because you are going to type or paste in content rather than use content from another performance document.

10.

Select the Drop Down arrow for the Template field. Two values will display.

11.

Select the value HHS Performance, which is the template for the on-line performance documents.

12.

Select the Create Documents button.  The Create Performance Documents Results page will display with confirmation that you added the document for the employee.

Add Document Details

 

Select the Current Documents link. The Current Documents page will display.

Find the employee for whom you have added a performance document. Select the HHS Performance link to the right of the employee’s name. The Document Details page will display.

Find the step, Establish Performance Criteria, and select the Start link in that row’s Next Action column. The Performance Criteria page will display.

Add a Job Description

 

Select the Add Job Description button.  The “Add an Item” page will display.

To type or paste in a job description, select the Checkbox next to "Add your own Item."

18.

Select the Next button. The Add Job Description page will display.

In the Title field, type or paste in the employee's job title.

Move your cursor to the Description field and type or paste in the general responsibilities of the employee’s position.

Select the Update button.  You will be returned to the Performance Criteria page.

Add Tasks and Standards

 

Select the Add Tasks and Standards button. The Add an Item page will display

Select the Checkbox next to “Add your Own Item.

Select the Next Button. The Add Tasks and Standards page will display.

25.

In the Title field, type or paste in the task statement.

26.

Move your cursor to the Description field. Type or paste in a task the employee is expected to perform.

27.

Move your cursor to the Measurement field.  Type or paste in the standards for competent performance of the task.

Select the Update button.

Add as many tasks and standards as necessary. Select the Save button.

Editing Items

 

Select the Expand Sections link to review the job description and the tasks and standards.

To edit an item, select the Red Pencil icon.  The Edit Job Description or Edit Tasks and Standards page will display.

Make your edits. Select the Update button. You will be returned to the Performance Criteria page.

Printer Icon

The printer icon opens a PDF viewer from which you can print, save, or send a PDF version of the performance document.

 

E-mail Icon

The e-mail icon lets you send the employee an e-mail about the performance document. When the Send Notification page opens, enter your message, and select send.

If you have more work to do on the performance document, select Save to keep your work and return later to complete it.

Complete the Establish Measurement Criteria Step

 

Once you have completed the evaluation criteria, the employee may view the document through CAPPS Employee Self Service.

 

Select the Complete button on the Performance Criteria page when you are done with the performance document. The Complete Performance Criteria page will display.

Select the Complete button. The employee will receive an e-mail telling him or her that the performance document has been updated. End.
